Our team is looking for an Onboarding Manager who will be responsible for a fast, high-quality, and sustainable onboarding process for new teammates, helping them start confidently and integrate effectively into work processes.
In this role, You will be responsible for end-to-end support of candidates during the onboarding stage — from handover from recruitment to reaching stable performance. You will design and run a structured adaptation process: organize and facilitate onboarding and introductory sessions, ensure correct transfer and absorption of materials, align expectations regarding processes, quality standards, and performance metrics. You will also regularly monitor progress and task quality, provide timely feedback, support candidates in resolving operational issues, and escalate emerging risks.

Key responsibilities * Ensure timely engagement of candidates in the onboarding process after handover from recruitment, including communication before the first working day and coordination of organizational steps required for a successful start. Plan, organize, and conduct introductory meetings and onboarding sessions, ensuring a shared understanding of processes, roles, areas of responsibility, expectations, and success criteria for the adaptation period. * Support candidates through the onboarding training program: provide materials and instructions, explain workflows, monitor the completion of key requirements, and assess readiness for independent task execution (materials are provided). * Conduct regular assessments of engagement, learning dynamics, and task quality during the first weeks of work, document results, and respond promptly to deviations. * Provide regular, specific, and constructive feedback, support teammates in resolving questions, and help remove operational and process-related obstacles. * Maintain up-to-date onboarding statuses and results in internal tools and reports, ensuring transparency, control, and predictability of the process. * Identify risks and systemic constraints within the onboarding process, escalate issues in a timely manner, propose improvements, and participate in implementing changes aimed at improving onboarding quality and stabilizing new hire performance.
Must-have requirements * English B2+ (spoken and written), confident one-on-one and group communication. * High communication skills, ability to build rapport, maintain motivation, and ensure discipline among new employees. * Attention to detail and accuracy in statuses, deadlines, and materials. * Ability to work with spreadsheets and Google tools: Google Sheets, Docs, Drive, Calendar. * Experience with Notion (databases, checklists, statuses, materials). * Basic analytical thinking: ability to identify root causes, distinguish symptoms from causes, and propose simple improvements. * Critical thinking: ability to ask the right questions, verify understanding, and avoid leaving things unattended. * Independence and responsibility: ability to manage a candidate flow without micromanagement.
Nice-to-have * Experience in customer support, sales, mass hiring, or operational/HR onboarding. * Experience onboarding or supporting contractors/freelancers and distributed teams. * Experience in quality assurance (QA) or performance coordination during the first weeks of work. * Skills in facilitating group calls and training sessions. Experience with ATS/CRM systems or basic automations (e.g., templates, forms, statuses).
Key competencies * Ability to structure onboarding, keep people engaged in the process, and drive results. * Ability to provide clear and constructive feedback without demotivating. Ability to manage multiple candidates in parallel without losing track of statuses and details. * Quickly understands processes and translates them into clear, actionable steps for newcomers. * Proactive approach: identifies weak points and proposes concrete improvements.
