We are looking for a Marketing Project & Operations Manager — a hybrid role combining project coordination, operations, research coordination, client-facing activities, and pre-sale support.
This is a PM Operations role deeply embedded into client communication, events, research, and supporting the CEO with organizing the entire pre-sale ecosystem.

Responsibilities: Project Operations & Coordination * Maintain and organize PM-level operational processes: backlog, tasks, notes, documentation. * Work hands-on with Jira, CRM, and internal knowledge bases. * Ensure that all client-related information, decisions, and next steps are documented and always up to date. * Coordinate internal teams (engineering, design, content, marketing) for pre-sale solution preparation. * Act as an operational bridge between CEO and internal stakeholders.
Client Communication & Pre-sale Support * Join client-facing calls (context gathering, needs clarification, follow-ups, next steps planning). * Prepare agendas, notes, summaries, and ensure clarity of responsibilities after each call. * Support organization of workshops, demos, discovery sessions, and multi-stakeholder meetings. * Maintain warm, structured communication with prospects across longer decision cycles.
Research & Analysis * Coordinate the conduct of market research: industry, technologies, ICP, challenges, opportunities. * Analyze conference and event outcomes: classify leads, document insights, identify promising directions. * Build detailed client profiles and propose where our services intersect with their needs. * Support the CEO in strategic decisions with research-driven insights.
Events & Marketing Operations * Prepare operationally for conferences and events (lists, segmentation, materials, research). * Collaborate with a service designer and content writers to develop materials and narratives. * Run post-event follow-ups, summaries, next-step coordination, and opportunity tracking. * Evaluate ROI of marketing & BD initiatives (pipeline quality, engagement, conversion patterns).
Requirements: PM & Operational Background * 2+ years in Project Management, Project Coordination, Delivery Operations, or similar roles. * Comfortable organizing processes, structuring information, maintaining backlogs and systems. * Experience owning operational routines: documentation, tracking, follow-ups, deadlines. * Understanding of custom software development lifecycle. * Experience in retail, ecommerce, B2B services, or manufacturing
Client-Facing Skills * Experience communicating with customers or external teams (meetings, discovery, coordination). * Familiarity with LinkedIn outreach tools or light BD processes. * Strong English (Upper-Intermediate+): written and spoken. * Ability to manage multi-step communication flows and maintain clarity with stakeholders.
Tools & Systems * Experience with Jira, CRMs (Pipedrive is a plus), documentation systems, collaboration tools. * Ability to keep systems clean, accurate, and fully updated — real PM discipline.
Nice to Have: * Experience with workshops/demos facilitation or coordination. * Comfort with research-heavy tasks and synthesizing insights.
Soft Skills: * High ownership, independence, and structured thinking. * Strong communication and relationship-building skills. * Strategic and analytical mindset — able to think beyond tasks and understand the bigger picture. * Comfortable with hands-on operations and repetitive processes when needed
