We are looking for a proactive, detail-oriented Personal Operations Manager to support the founder by taking full ownership of personal logistics and operational coordination — from travel planning and documentation to vendor management and deadline tracking — ensuring everything runs smoothly behind the scenes.
What you’ll do * Manage calendar, multi-country travel, and flight logistics across Europe and the USA * Oversee housing and lifestyle services across multiple locations * Coordinate drivers, concierge, housekeeping, and service vendors * Handle personal documents, insurance, and banking matters * Liaise with external legal and accounting advisors on personal matters * Track deadlines and keep all administrative processes running smoothly
What we’re looking for * 5+ years as Executive Personal Assistant or Personal Operations Manager * Experience supporting founders, executives * High autonomy and strong ownership mindset * Exceptional organisational skills and attention to detail * English B2 or above — mandatory * Comfortable working across time zones and multiple jurisdictions * AI tools proficiency is a plus
